Telephone Options Guide: Employees

Automatic Callback

To activate automatic callback:

  1. Listen for dial tone
  2. Dial *5
  3. Listen for dial tone
  4. Dial extension
  5. Listen for 3 short tones
  6. Hang up immediately
  7. You will be called back.

IMPORTANT: Automatic callback only works when calling extension without voicemail

When you are called back with automatic callback:

  1. Listen for 3 short rings
  2. Lift handset and hear ringing
  3. Wait for answer

To cancel automatic callback:

  1. Listen for dial tone
  2. dial #5
  3. Listen for 3 short tones
  4. Hang up

Call Forwarding

To activate call forwarding for all calls:

  1. Listen for dial tone
  2. Dial *2
  3. Dial extension
  4. Listen for 3 short tones
  5. Hang up immediately
  6. Your calls will be forwarded

IMPORTANT: Forwarding all calls cancels voicemail

To cancel call forwarding (all calls):

  1. Listen for dial tone
  2. Dial #2
  3. Listen for 3 short tones
  4. Hang up

To activate call forwarding for busy/no answer situations:

  1. Listen for dial tone
  2. Dial *3
  3. Dial extension
  4. Listen for 3 short tones
  5. Hang up immediately
  6. Your calls will be forwarded
    • Activating busy/no answer call forwarding forwards calls after three rings.

IMPORTANT: Activating call forwarding (busy/no answer) cancels the voicemail feature for that phone.

To cancel busy/no answer call forwarding:

  1. Listen for dial tone
  2. Dial #2
  3. Listen for 3 short tones
  4. Hang up

Holding Calls

To hold a call:

  1. Depress switchhook
  2. Listen for 3 short tones followed by dial tone
  3. Dial *4
  4. Listen for dial tone
  5. Lay handset down - do not hang up

To hold call and consult with another party:

  1. Depress switchhook
  2. Listen for 3 short tones followed by dial tone
  3. Dial *4
  4. Listen for dial tone
  5. Dial third party
  6. Party answers

To alternate between held calls:

  1. Depress switchhook
  2. Listen for 3 short tones followed by dial tone
  3. Dial *4
  4. Begin talking immediately

IMPORTANT: Your present call is put on hold and the previously held call is returned to your line.

To return to held call

  1. Hang up
  2. Your telephone will ring
  3. Answer and resume conversation

Call Pick-Up

To pick up from an idle phone:

IMPORTANT: To answer a ringing phone in your pick-up group, your extension must be in same pick-up group

  1. Listen for dial tone
  2. Dial *7
  3. Begin talking immediately

To hold your current call and pick up a new call:

  1. Depress switchhook
  2. Listen for 3 short tones followed by dial tone
  3. Dial *4
  4. Listen for dial tone
  5. Dial *7
  6. Begin talking

IMPORTANT: Your present call is put on hold and the incoming call is put through to your line.

Call Waiting

To answer a 1, 2, or 3 beep call waiting signal:

To end your current call and answer the waiting call:

  1. Hang up
  2. Your telephone will ring
  3. Answer and begin conversation
    • The previous party will be disconnected

 

To hold current call and answer waiting call:

  1. Depress switchhook
  2. Listen for 3 short tones followed by dial tone
  3. Dial *4
  4. Listen for dial tone
  5. Dial *9
  6. Begin talking immediately
    • Your present call is put on hold and the incoming call is put through to your line

Transferring Calls

To transfer a call:

  1. Depress Switchhook
  2. listen for 3 short tones
  3. Dial third party
    • If the third party cannot be reached, depress the switchhook to be reconnected with your original party
  4. Third party answers
  5. You are connected with third party and can inform them of the incoming call
  6. Hang up
  7. The call is transferred

Transferring to Voicemail

To transfer a call directly to voicemail without ringing a phone:

  1. Depress switchhook
  2. Listen for 3 short tones
  3. Dial 8900
  4. Wait for voicemail to answer
  5. Enter the extension you want the voicemail box of then press #
  6. Hang up
  7. The call will be connected to the voicemail box

IMPORTANT: hang up quickly after pressing #, otherwise the caller won't hear the voicemail's entire greeting.

Three-Way Calls

To add a third party to your call:

  1. Depress Switchhook
  2. Listen for 3 short tones
  3. Dial third party
    • If the third party cannot be reached, depress the switchhook to be reconnected with your original party
    • Depress the switchhook twice if the third party is outside your dimension system
  4. Third party answers
  5. Depress switchhook
  6. Begin talking immediately

To drop a third party:

  1. Any party hangs up
  2. Remaining two parties can converse

IMPORTANT: One remaining party must be within the DIMENSION system, unless the Trunk to Trunk Transfer feature is provided in your system.

Conference Calls

For four to 12 callers on one telephone call. Please use the three-way calling instructions above for groups of three. 
Reservations are required to use the conference call bridge.

There are two options to set up a conference call:
Option 1:

  • Visit EKU Conference Bridge
    • Click the Orange "add event" button to the right
    • Fill in information and click submit

Option 2:

  • Contact Connie Finley

The Conference Call Bridge number is 622-2538.

International Calls

To make international telephone calls between 8:00am and 4:30pm you must use a calling card or call the campus operator with the international telephone number and the organization code that needs to be charged for the call. If you are sending a fax you must call the campus operator from a fax machine with a handset. The campus operator will then place the call for you. 

If you need to make an international telephone call after 4:30pm you must use a calling card. You may obtain a University calling card that will be billed to your department from the Telecommunications office by calling 2-1903 between 8:00am and 4:30pm.
